Madison Tree and Landscape is seeking an Office Manager/Executive Assistant. This position provides support to staff and President to ensure efficient operation of office and field personnel. Primary responsibilities include, but are not limited to:
Clerical and Administrative Support:
Answer, screen and transfer inbound phone calls.
Maintain all files both electronically and tangibly.
Maintain office supply inventories and coordinate maintenance and purchasing of office equipment.
Coordinate and maintain records for staff, telephones and petty cash.
Oversee compliance with statutory reporting and filing requirements.
Coordinate the provision of information and records to external accountant
Review invoices and check requests and resolve invoice discrepancies.
Set up invoices for payment.
Prepare and process vendor payments.
Monitor accounts to ensure payments are up to date.
Prepare A/P aging reports.
Correspond with vendors and respond to inquiries.
Prepare monthly sales tax reports and process payments.
Perform account reconciliations.
Carry out invoicing, collections, and reporting activities according to specific deadlines and company policy.
Prepare and analyze aging reports.
Investigate and resolve costumer queries and perform reconciliation of accounts.
Process customer payments and deposit into the bank.
Administer compensation & benefits ensuring they are in line with company policies and legislation.
Prepare employee payroll will include:
Tracking hours worked
Reviewing submitted employee time cards
Ensure payroll is completed accurately and on time
Understanding of accounting payroll and liabilities
Must be highly proficient with Windows, Microsoft Office and QuickBooks
Ability to work independently, highly organized, excellent communication and interpersonal skills.
